If you’re working in Salesforce Marketing Cloud (SFMC) and using DESelect Segment, you might occasionally encounter an issue where you cannot see the Data Extensions (DEs) you created or managed in Email Studio. This can be a frustrating experience, especially when you need to use those DEs for segmentation and analysis. Let’s explore some common reasons behind this issue and how to address them.
Permission: Ensure that you have proper permission to access the folder where the Data Extension has been saved.
Permission from SFMC: Permissions in Salesforce Marketing Cloud are role-based and can restrict access to specific folders or Data Extensions. If you do not have the appropriate permissions, you may not be able to see the Data Extension in Email Studio.
Possible causes include;
- Your user role lacks "Read" permissions for the folder where the data extension is stored.
- The folder is restricted to certain user roles or business units, and your account is not included in those settings.
- Folder or data extension sharing settings are not configured correctly.
To resolve this you can confirm with your system administrator that your role includes "Data Extensions: Read" permissions for Email Studio.
Access Restrictions Based on Folder Permissions
Possible causes include;
- SFM folder access restriction: Administrators in SFMC can configure folder access to restrict visibility for specific users or roles. If a folder containing the desired DEs is restrictzed, you won’t be able to view or access them in DESelect Segment.
To resolve this you can confirm with your SFMC admin that you have the necessary permissions to access the folders containing the DEs and ensure that the DEs are stored in folders that are accessible to your role in the Business Unit.
- The Data Extension is located in a folder where DESelect Segment has no permission to access. DESelect administrators can set what folders will be included (available) or excluded (hidden) in the Available Data Extension section and Target Data Extension section. That being said, all Data Extensions that will be displayed will be limited to what is only set to be available by the DESelect Administrator.
